I was the case manager reading the Excel sheet that was already three edits behind.
So the tool I wished existed is the one we built: one live case record, not a spreadsheet somebody has to remember to update.
I worked as a case manager. Every week I watched the same struggle play out on the admin side: the schedule lived in an Excel sheet, shared online, everyone else given view-only access. Someone had to own that file, edit it by hand, and hope the right people happened to open it before their shift changed underneath them.
When something needed to change, the request went out, bounced back, went out again. There was no way to just look and know — had a client been added? Had one been removed? Was the person covering Thursday even the same person who’d agreed to it on Monday? You couldn’t tell. You had to ask, and hope someone remembered.
Interpreters had it worse. They’d get booked by one case manager, then by another, from a different provider entirely, neither one aware the other existed. Nobody found out until two appointments landed in the same hour and somebody had to get a call they didn’t want.
None of this was anyone’s fault. It was the tool. A spreadsheet only tells the truth to whoever’s holding it at that moment — everyone else is working from whatever version they last happened to see. So we built the version where that isn’t true anymore: one record, live, visible to everyone who actually needs to see it, the moment it changes.
